Subscription and invoices

The office's plan, the discounts in force, asking MG Tech for a quotation and accepting it, the invoices and paying.

What it is for

The office's plan is seen here: the modules, the period, the limit and how much of it is in use where the plan counts something, the renewal day, and the discounts MG Tech agreed and how long each lasts. From here a quotation for a subscription or a change is asked for; MG Tech issues it, and its sales team may change it before it is accepted. It is accepted on the “Quotation” page under the office's legal name, the invoice is issued at once, it is paid by card on MG Tech's page or by transfer, and the modules open when MG Tech records the payment. The “Invoices” page holds every quotation and invoice and their files.

Who uses it

The page opens for whoever holds “View the subscription and invoices”, to look only, or “Manage the subscription and invoices”, to work in it. In the built-in roles: Owner, Accountant. They are granted to any role under Settings → Roles and permissions.

Step by step

  1. Enter the “Billing details” first if they are not entered.
  2. Choose the modules, the period (monthly or yearly) and the limit where the plan counts something, check the price, then “Ask for the quotation”.
  3. Open the “Quotation”, review its latest revision, then “Accept the quotation”.
  4. Pay the invoice by card on MG Tech's page, or transfer its amount to the account shown on “Invoices” with its number in the transfer's description.
  5. To change the period, lower the limit or drop a module: choose the “Next period's plan” before the renewal day.

How it works

Where the plan counts something, its limit is how many active ones are bought; no limit below what is in use today is offered, and there is none during the trial. With a plan running, adding a module or raising the limit is charged for the days left until the renewal day. The renewal quotation is issued fourteen days before that day, built from the “Next period's plan” if one is chosen, with the discounts in force until they run out. MG Tech's sales team may change a quotation before it is accepted, so what is accepted is always the latest; a module whose line they took off stays closed. A quotation is accepted under the office's legal name, and the action log keeps who pressed it. An issued invoice is never changed: a wrong one is voided and a new quotation asked for. VAT is added according to the office's country and the selling company's. Some modules are in every plan: they stay ticked, and no plan drops them.

Questions

When do the modules open?
When MG Tech records the invoice's payment: a transfer when it arrives, a card when MG Tech confirms it; EstateOS hears of it within minutes.
The quotation changed after we asked for it?
MG Tech's sales team may change it, with a discount for instance, before it is accepted. The “Quotation” page shows the latest revision, and only that one is accepted.
Can we pay by card?
Yes, when MG Tech takes a card for your invoice: “Pay by card” appears for whoever manages the office's billing. You pay on MG Tech's page, and no card details pass through EstateOS.
How long do the discounts last?
As MG Tech agreed: one invoice, a number of renewals, or always. Each one's length shows under “Discounts in force”.
How do we change from monthly to yearly?
In the “Next period's plan”; it applies on the renewal quotation.
Where is the tax invoice?
“PDF” beside each invoice on the “Invoices” page; MG Tech issues it, with the QR code on Saudi invoices.
